Heirloom helps families catalogue a loved one's belongings and divide them fairly. The things you put into Heirloom — photographs of a home, the stories behind objects, what was promised to whom — are among the most personal records a family keeps. This policy explains what we collect, why, and what we will never do with it.
Heirloom is operated by Brooks Nelson ("we", "us"). Contact: support@myheirloom.ai.
Account information. Your email address and, if you choose to provide one, a display name. If you sign in with Apple, Apple may share your name and either your email address or a private relay address. We use these only to sign you in and to show your name to the family members you share an estate with.
Estate content. Everything you and your family add to an estate or planning catalogue: the names, rooms, places, boxes, makers, conditions, estimated and appraised values and stories of belongings; photographs and attached documents such as appraisals or receipts; claims, bequests and "this is for" intentions; private "meaningful to me" flags; division choices (points, rankings, scores or draft picks); settlement statuses; donation and sale records; floor plans; and the family conversation and direct messages. You control this content, and you can export or delete it.
History. Heirloom keeps a record of consequential changes (for example, who recorded an appraisal or made a division binding) so the family can see what happened and when. It is visible to the members of that estate and deleted with the estate.
Technical data. Our hosting provider records standard server logs (IP address, timestamps, request paths) needed to operate and secure the service. We do not use advertising SDKs, and we do not run analytics on the stories you write.
Only to provide the service: showing an estate to its members, keeping sealed choices private until everyone has locked in, generating exports you request, and sending you emails you initiated (sign-in links). We do not sell personal information and we do not use your content for advertising or to train AI models.
Optional AI help. Three features use an AI provider (Anthropic), and only when you tap them: Suggest details from photo sends that one photograph to suggest a name, category, maker, condition and rough value; Find comparable sales sends a belonging's cover photo and catalogue details (never its story) so the provider can search the web for similar items that have sold; Draft the listing for me sends the same photo and details to write a sale listing. Nothing is sent unless you ask, stories and family names are never sent, and Anthropic does not use content sent through its API to train its models.
Only members of the same estate — the people the organizer invited — can see that estate's content. Some content is narrower still: your private "meaningful to me" flags are visible to no one but you (the app shows only whether two or more people flagged an item, never who). Your sealed division choices are unreadable by anyone, including other family members, until every participant has locked in. Advisors — an attorney, accountant or appraiser the family invites — can read the catalogue and reports but never private flags, sealed choices, or the family's conversation; direct messages are visible only to the two people in them. These rules are enforced by database-level access controls, not merely by the app's screens.
Links you share. An organizer, executor or facilitator can create a read-only link for someone outside the family, such as an appraiser. Anyone with that link can see the belongings' names, numbers, photographs, makers, conditions, rooms and places — and values, if the person creating it chooses — until it expires or is switched off. Shared links never include stories, claims, private flags, division choices, family names, messages or documents.
Things you choose to send elsewhere. If you hand a sale listing to eBay or Facebook Marketplace, Heirloom copies the text to your clipboard and opens their site; what you post there is governed by their policies.
Data is stored with Supabase (database, authentication and file storage) in the United States, encrypted in transit and at rest. Photographs and documents live in private storage and are served only through short-lived signed links.
Export. An estate's organizer or executor can export the full estate as JSON from Estate settings, and anyone can generate the keepsake book and record of division as PDFs.
Delete an estate. The organizer can permanently delete an estate and all of its photographs and documents from Estate settings.
Delete your account. From Your account, tap "Delete my account". Your sign-in is removed immediately. In estates you shared with others, your name becomes "Former member" and the belongings you catalogued and any division outcomes remain, because they belong to the family record. Estates where you were the only member are deleted with your account.
Corrections. Everything in the catalogue is editable in the app. For anything else, email us.
Heirloom is not directed at children under 13 and we do not knowingly collect information from them.
If we change this policy in a way that matters, we will note the new effective date here and, for significant changes, let you know in the app.
